Challenge

A utilities company with approximately 120 vehicles used to service various business needs ,faced challenges in managing and analysing fleet data captured across multiple systems. These systems included R2C for fleet service maintenance and repair, Ctrack for fleet GPS tracking, Jigsaw/Fuel Card systems for fuel purchase and usage, Assure for health and safety incidents, and Oracle Financials for asset management.

Different departments within the company utilised information from these systems to report on performance, compliance, costs, and utilisation, developing specific reports and processes to meet their needs. Commercial teams also required access to similar contract performance information. The lack of consistent reporting from a single source, combined with the absence of trend analysis, hindered the company's ability to gain better insights into its fleet operations.

Solution

We provided a comprehensive end-to-end project delivery service to address the client's challenges. Our solution involved understanding the underlying data structure of the various systems and creating a centralized Data Hub for seamless data integration. We developed a logical data model, implemented auto-refresh capabilities for datasets, and designed dashboards tailored to the needs of operational, contractual, and financial departments.

The dashboards provided detailed insights into various aspects of fleet management, including costs associated with the most and least expensive vehicles, vehicle off-road (VOR) times, garage visits, and repeat garage visits by vehicle. Economic lifecycle analysis was performed for each vehicle by manufacturer, type, and function. The dashboards also highlighted key driver behavior, such as non-compliance with driver checks, road traffic incidents/accidents (including third-party involvement), missed scheduled service and maintenance appointments, and red-yellow-green (RYG) reports from Ctrack regarding driving parameters and weighting.

Additionally, the solution identified efficiencies related to fuel savings, fleet optimisation, and service costs. It also highlighted data discrepancies across systems, identifying any duplication, errors, or mismatches.

Outcome

The implementation of a single authoritative utilities data warehouse and comprehensive dashboards enabled various fleet information users to quickly derive business insights. The solution facilitated driver contract compliance and efficiency analysis, as well as an assessment of driver behavior costs. It supported fleet economic lifecycle analysis, informing investment decisions for new fleet acquisitions.

Moreover, the centralised Data Hub and dashboards contributed to a 23% reduction in operational costs, demonstrating the tangible benefits of data-driven fleet management.
